Travel & Hotel Reservations

The Kauffman Foundation will cover most travel expenses incurred in California, for invited participants. Your honorarium should help cover any costs not covered by the Foundation, including expenses for any travel companions. Honorariums will be processed immediately following the conference and should be received by participants no later than August 31, 2012.

Covered Expenses:
Our practice is to provide one economy-class round trip ticket to and from the originating airport. We provide the lowest priced reasonable ticket at the time of booking. If you prefer not to accept that particular itinerary, you have the option of changing the itinerary or upgrading your ticket, but will be asked to pay the difference between the fare offered and the fare of your choice.

The Foundation will be directly responsible for economy airfare (including automated check-in fees for Southwest Airlines), ground transportation in California, hotel accommodations, and overnight parking. Kauffman will also be direct billed for Bellman gratuities upon check-in and Housekeeping gratuities.

We regret that we are not able to cover any other travel expenses including: home to airport transportation, airport parking, checked baggage, meals while traveling, or incidental costs including car valet gratuities, spa services, restaurant/bar, honor bar charges, or any costs associated with guests traveling with meeting participants except for meals noted on the Deadlines and Logistics page. Meals on your own are not reimbursed by the Kauffman Foundation.  A list of local restaurants will be provided.

Travel Arrangements:
You must use our in-house travel consultant to arrange for all Kauffman-covered travel accommodations. Please note, although we are not covering expenses for guests traveling for participants, for your convenience, our travel consultants are available to help you make arrangements for your travelling companions.

Due to the anticipated volume of travel requests for this event, a response could take up to one working day. All requests received by the cut-off date will be accepted even if travel is not finalized by the deadline.

When contacting Travel & Transport, please be prepared to provide:  your name as it appears on your photo ID, date of birth, gender, seating preference (aisle or window), time requirements for travel, departing airport, relevant frequent flier numbers, and special requirement requests.

Changes:
All charges, fees, additional fare costs, or penalties incurred from changes made to airline reservations after they are ticketed are solely the financial responsibility of the participant.

Changes in the length of stay could result in a reduction (or increase) of your honorarium. An honorarium of $3,000 will be paid for attendance to the full conference. An honorarium of $2,000 will be paid for any less than full attendance.

Cancellations:
As a courtesy, we ask that all cancellations be made at least 14 days in advance by contacting Glory Olson at golson@kauffman.org.

Important, please note: If your airline reservations have been made and confirmed at the time of cancellation, the participant will be financially responsible for the full cost of the airfare. By making reservations with our travel agency and accepting covered travel accommodations, you acknowledge and accept the terms of this travel policy.
